3. How We Collect Information
We collect information directly from you or a sponsoring member; automatically when you use the website, booking system, facility Wi-Fi, or access systems; from service providers that process bookings, payments, communications, analytics, access, or security; and from event organizers, household account holders, or other persons who are authorized to provide it.
4. How We Use Information
- Create and administer memberships, household privileges, reservations, events, leagues, waivers, payments, refunds, and member support.
- Authenticate users, issue and manage access credentials, confirm eligibility, enforce guest limits, and operate an unattended or minimally attended facility.
- Protect people, equipment, property, accounts, and legal rights; investigate incidents, suspected fraud, rule violations, charge disputes, and security events.
- Send transactional, safety, billing, booking, operational, and—when permitted—marketing communications.
- Maintain, troubleshoot, analyze, and improve the Services, capacity planning, member experience, and business operations.
- Comply with law, insurance obligations, lawful process, and enforceable agreements.
5. How We Disclose Information
We may disclose personal information to service providers and contractors that support booking, payments, access control, communications, website hosting, analytics, security, IT, insurance, legal, accounting, maintenance, and other operations. These parties may use information only as permitted by their agreements and applicable law.
We may also disclose relevant information to a sponsoring member or event organizer; insurers, attorneys, emergency services, law enforcement, regulators, and involved parties when reasonably necessary for safety, an investigation, a claim, or legal compliance; and a buyer, lender, successor, or professional adviser in connection with a financing, reorganization, or transfer of the business. We may disclose information at your direction or with your consent.
Clubhouse does not currently sell personal information for money or share personal information for cross-context behavioral advertising.
6. Payments and Third-Party Platforms
Payments, bookings, access control, and certain communications are provided through third-party platforms. Those providers may collect information directly under their own privacy notices and may act as independent businesses for some processing. We encourage you to review the privacy notices presented by those providers when using their services.
7. Cookies, Analytics, and Communications
The website and service providers may use cookies, pixels, local storage, and similar technologies for essential functionality, security, preferences, measurement, and—if enabled—advertising. Available controls may include browser settings, cookie controls, and unsubscribe links. Opting out of marketing does not stop account, booking, safety, or billing communications.
8. Security Cameras and Access Logs
Cameras may record entrances and common areas for safety, security, operations, and incident review. Cameras will not be placed in restrooms. Access systems may record credential activity, door events, and timestamps. Recordings and logs may be preserved longer when relevant to an incident, claim, investigation, or legal obligation. Posted notices and the Club Rules provide additional information.
9. Retention and Security
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including membership administration, safety, dispute resolution, accounting, insurance, and legal compliance. Retention periods vary by data type and may be extended for an incident, claim, litigation hold, or lawful request. Clubhouse uses reasonable administrative, technical, and physical safeguards, but no system can be guaranteed completely secure.
10. Your Choices and Requests
You may update certain account information through the applicable account tools or contact Clubhouse to request access, correction, or deletion. We will evaluate requests under applicable law and may need to verify identity or retain information for contracts, safety, fraud prevention, accounting, insurance, or legal obligations. You may withdraw marketing consent at any time using the provided unsubscribe method.
11. Children's Privacy
The website and online Services are intended for adults managing memberships, reservations, and participation. Clubhouse does not knowingly collect personal information online directly from a child under 13 without legally sufficient parental consent. A parent or legal guardian should provide information for a minor participant. If you believe a child supplied information directly, contact Clubhouse so it can be reviewed and addressed.
12. Changes to This Policy
We may update this Policy to reflect changes in law, technology, vendors, or operations. The posted version will identify its effective date. When practicable, Clubhouse will provide additional notice of a material change.
